The problem

Delivery notes, scheduling agreements and per-vehicle purchase orders lived in different places. Reconciling what had shipped against what had been invoiced was manual, slow and easy to get wrong.

The approach

  • Delivery notes scanned in and matched to scheduling agreements and purchase orders.
  • A colour-coded matrix per vehicle showing sent, invoiced and returned parts.
  • Option prices taken directly from the quoting platform rather than the ERP, which had proved unreliable.
  • Microsoft sign-in with role-based permissions for finance, programme management and logistics, hosted in the UK.

The outcome

  • Finance and logistics work from a single view of each vehicle.
  • Invoices match quotes by construction.
  • Next: forecast, shipped and invoiced trends for revenue tracking.

What they say

What we had shipped against what we had invoiced lived in spreadsheets and people's heads. Mike built a system that tracks it car by car, from forecast through delivery to invoice, with Microsoft sign-in and the right permissions for finance. He brought the history in from the existing tracker rather than making anyone scan 1,500 old delivery notes.
